How TLNexa works, and what to do when something doesn't look right.

Signing in

  • OTP login (recommended): enter your email and press Send OTP. A one-time code is emailed to you. Enter it on the next screen to sign in.
  • Password login: switch to Password Login and enter your email and password, if you have one set.
  • Forgot password: use Forgot password on the login page. A code is emailed so you can set a new password.
  • Accounts: there is no self sign-up. Your administrator creates accounts for each user.

Dashboard

  • Needs attention: expired or expiring credentials, tender dates within 7 days, tenders whose review failed, and projects ending within 14 days.
  • Critical deadlines: tender dates in the next 30 days.
  • Credential health: credentials expired or expiring within 90 days.
  • Projects ending soon: projects in progress that end within 60 days.
  • Recent activity: the latest changes to records and who made them.

Masters

  • Organization Master: your companies, with location, GST status, manpower, annual turnover, net worth, turnover history for the last five years, and credentials with expiry dates.
  • Client Master: the bodies you work for. Mark a client as government where it applies.
  • Project Master: projects with the organization, client, start date, expected end date, value and status (In Progress or Completed). A consortium partner can be linked, and certificates, work orders and scope documents can be attached.
  • Tender Master: tenders you have uploaded and reviewed.

Tenders and AI review

  1. Upload a tender PDF in Tender Master, or attach it in Nia. The file can be up to 10 MB.
  2. Review runs in the background. Nia reads the tender in five parts: overview and key dates, EMD and amounts, scope of work, PQ/TQ requirements, and compliance and documents. It usually takes a few minutes. You can leave the page; a progress indicator in the top bar shows what is still running, and a notice appears when a tender is ready.
  3. Status: Processing while the review runs, Extracted when it is ready for review, and Needs manual review when a part could not be read. You can then fill in the details by hand.
  4. Amounts: EMD, tender amount and estimated value are read directly from the document text where they are stated.
  5. Scope and requirements: the tender page lists each module with its deliverables, and a requirements checklist with the threshold, the evidence needed and the clause reference.
  6. Scanned PDFs without a text layer cannot be read. Enter those details manually.

Nia assistant

  • Ask in your own words. You don't need exact names. "The smart city one" or "EMD for the road tender" works.
  • Answers come from your TLNexa records where they apply. When Nia answers from general knowledge instead, it says so.
  • Eligibility and gaps: ask "Are we eligible for this tender?", "Which company can bid?" or "Find evidence for our gaps". Nia reports each requirement's status as the assessment returns it.
  • Chats: press New chat to start fresh. Earlier chats are listed under Previous chats, and every chat is kept in Chat history in the sidebar.
  • Delete a chat from its menu. It is hidden from your lists, and nothing is removed from the database.
  • Suggested questions appear in the chat after each answer. They follow the tender or organization you are discussing.
  • Attachments: attach a tender PDF to upload and review it from the chat, or attach an image or document to ask about it.

Reports

  • Project portfolio: projects by status and by start year, with a CSV download.
  • Credential register: every credential with its expiry status (valid, expiring within 90 days, expired, or no date recorded).
  • Activity log: who created, changed or deleted each record, and when. Entries are kept for one year.
  • AI usage: requests made today for each AI key, and the last 30 days by provider.

Reminders

Deadline reminders are emailed at 09:00 (IST) for tender dates that are coming up. Reminders can also be set from Nia, for example "remind me a week before the bid deadline".

Common problems

"That file is too large to upload."
Tender files must be 10 MB or smaller. Try saving the PDF at a lower resolution, or split it into parts.
"Couldn't reach Nia. Please try again."
Check your connection and try again. If you were signed out, refresh the page and sign in again.
"Nia has hit today's usage limit."
The AI service has reached its daily allowance. Try again later, or ask your administrator to add capacity.
A tender shows "Needs manual review".
Part of the document could not be read, usually because it is a scanned image. The details already found are kept. Fill in the rest by hand.
The password option is missing.
Password login is only available for accounts that have a password set. Use OTP login, or ask your administrator.
Dates look a day off.
All dates and times are shown in Indian Standard Time (IST).
